The Flower and Garden Festival features more than 150 crafters, vendors, displays and exhibits throughout a six-block area in downtown Leesburg. Below are some details about the show. Please mark your calendar as we will begin accepting 2018 applications on November 1, 2017.
The emphasis of this show is outdoor living – we feature products and vendors that support this focus. This may include products designed for outdoor use or products featuring natural or plant-based elements. Applications are available by November 1 for the upcoming festival year. They are due in early January. For the 2018 festival, applications will be due by January 10, 2018. (Please note this does not mean “post-marked by.” Applications must be received by the deadline in order to be considered on-time.)
In order to apply for the festival, please submit a completed application, at least three photos of your crafts/product and one photo of your booth set-up/display. You may supply additional materials if desired, such as programs, brochures, etc. Please pre-print photos- CD’s, slides and emailed photos are not accepted. Please do not include samples as we cannot guarantee their return. Photos will be returned after the show if requested on the application. If you are a returning vendor, photos are still required with your application, as our jury panel changes from year to year and may not be familiar with your booth or product.
All applications are juried by a panel of 4-6 judges, all members of the Leesburg community. On-time applications will be juried first, and given first priority. Late applications will also be juried then placed on a waitlist. If space within the festival becomes available, it will be filled with vendors from the waitlist. The jury is reviewing applications for quality, relevance to the show focus, product saturation and previous performance (if applicable). Acceptance letters for the festival will be sent by the end of January.
Booth Spaces and Layout
We offer several different size booth spaces, however their locations within the festival may vary. For instance, 10×10 spaces are only available with the Lightfoot Garden Lot, on Cornwall Street, or on S. King St. Please be sure to review the festival map to ensure a full understanding of the event layout. Oversize spaces, sized 20×16, are very limited. Not all requests for this size space can be guaranteed. Please indicate on your application if you are willing to accept a smaller space if an oversize space is not available. Please also note that power is not available in all areas; there is no power available in the 10×10 vendor areas.
Payment must be included with your application. The application fee is required at the time of application, so please included a separate check specifically for this fee. A separate check for the booth space should also be included. Booth spaces payments will not be processed until you have been accepted into the show. Please note that should you send one check for the full payment, the entire check will be processed, regardless of acceptance. Should you not receive a space in the show, the additional funds will be refunded after the show date. If your application is received after the January deadline, a late fee will be assessed in addition to the application fee. Accepted forms of payment include check, Visa, Master Card, Discover, AMEX and money order.
Terms and Conditions
Please review all Terms and Conditions listed within the event application. These guidelines must be adhered to at all times, in particular our ‘rain or shine’ policy.
If you have been waitlisted for the event, don’t fret! We often pull vendors from our waitlist to fill vacancies in the festival. If you have been waitlisted, it may be for a variety of reasons, in particular the timeliness of application or having too many like products already accepted into the show. Should we have a space open up within the festival, we will contact you to discuss the details of the placement before processing payment. Please keep in mind that the waitlist is not ordered; when we have an opening in the show, we look at the entire group of waitlisted vendors to determine who would be the best fit for the space. Factors in determining this include location, type of product already placed around the open space, load-in/out requirements and other logistic factors.
